Coordinate New Client Setup via MCP Server

When setting up a new client, the 'Intake Agent' calls `create_client` using the company name. This creates the foundational record for the team. The 'Admin Agent' then uses `get_client_contact` to pull specific contact details related to that UUID, ensuring all necessary personnel data is available.

Manage Project Lifecycle with CrewAI

The 'Project Lead Agent' initiates work by calling `create_job`, passing the required name and client ID. This starts the job record in WorkflowMax. Later, the 'Timekeeper Agent' updates progress using `create_timesheet`, logging hours based on the job UUID and task unit.

Audit Operations with Multi-Agent Oversight

The entire team can check status by calling `list_jobs` for a project overview. To audit past work, the 'Auditor Agent' runs `list_timesheets`, pulling all recorded logs into shared memory. This allows for sophisticated monitoring and reporting without manual intervention.

Setup guide

Set up WorkflowMax MCP in CrewAI

Prerequisites

  • Python 3.10+ installed
  • crewai package (pip install crewai)
  • Active Vinkius subscription with a valid endpoint token
  1. 1

    Install CrewAI

    Run pip install crewai to install the framework. MCP support is built-in via the mcps parameter.

  2. 2

    Add the MCP URL to your agent

    Pass your Vinkius endpoint directly to the mcps list. Replace [YOUR_TOKEN_HERE] with your token from cloud.vinkius.com. CrewAI handles tool discovery and caching automatically.

  3. 3

    Kick off your crew

    Create a Crew with your agent and tasks. Call crew.kickoff() — the agent will automatically invoke WorkflowMax tools as needed.

crew.py
from crewai import Agent, Task, Crew

agent = Agent(
    role="WorkflowMax Analyst",
    goal="Access and analyze WorkflowMax data via MCP.",
    backstory="Expert analyst with direct WorkflowMax access.",
    mcps=[
        "https://edge.vinkius.com/[YOUR_TOKEN_HERE]/mcp"
    ],
)

task = Task(
    description="List recent WorkflowMax transactions",
    agent=agent,
    expected_output="A summary of recent activity",
)

crew = Crew(agents=[agent], tasks=[task])
result = crew.kickoff()
print(result)

Common questions about WorkflowMax MCP in CrewAI

The 'Monitor Agent' should use `list_jobs`. This tool gives a comprehensive view of every job, letting your autonomous operations know exactly what needs attention.
The 'Timekeeper Agent' uses the `create_timesheet` function. It requires three things: the job UUID, a task UUID, and the hours worked to record progress.
This MCP Server handles client records (names), contact details, specific project identifiers (UUIDs for jobs/tasks), and recorded time duration. All is structured business data.
You have `list_jobs` for project overviews and `list_tasks` if you only need the service units assigned to those jobs. This keeps your data filtering precise.
Use `get_client` to fetch a specific client's information by ID. If you only need the contact info for that client, use `get_client_contact`.
