Indexing meeting history for RAG

The `list_scheduled_meetings` tool lets you pull past data, which LlamaIndex can then index into a vector store. You don't just get a list; the *content* of that list becomes searchable knowledge. This means you can query your system later and ask questions like, 'What was the title of the meeting I deleted last month?' The answer is grounded in actual Webex API data, not just what an LLM guesses.

Building a knowledge base from room details

When you use `get_room_details` or `list_webex_rooms`, LlamaIndex captures that structured information and embeds it. This creates a historical record of your Webex spaces. Later, you can query this index to understand the relationship between rooms—for instance, finding all room names associated with a specific user ID found in the API data.

Retrieving current scheduling parameters

Use `get_meeting_details` to pull real-time information about an active meeting. LlamaIndex treats this output as a key piece of documentation that can be added to your knowledge base. This allows you to build applications where the system answers questions like, 'What is the current title and scheduled time for Meeting ID 123?' using data pulled directly from Webex.

Setup guide

Set up Webex MCP in LlamaIndex

Prerequisites

  • Python 3.10+ installed
  • llama-index-tools-mcp package
  • Active Vinkius subscription with a valid endpoint token
  1. 1

    Install dependencies

    Run pip install llama-index-tools-mcp llama-index-llms-openai. The MCP tools package provides BasicMCPClient and McpToolSpec.

  2. 2

    Connect with BasicMCPClient

    Point BasicMCPClient to your Vinkius endpoint URL. Replace [YOUR_TOKEN_HERE] with your token from cloud.vinkius.com. Supports SSE and Streamable HTTP transports.

  3. 3

    Convert to LlamaIndex tools

    Call mcp_tool_spec.to_tool_list_async() to convert all Webex MCP tools into native FunctionTool objects that any LlamaIndex agent can use.

  4. 4

    Run with any LLM

    Create a FunctionAgent with the tools and your preferred LLM. Swap OpenAI for Anthropic, Gemini, or any LlamaIndex-supported provider.

agent.py
from llama_index.tools.mcp import BasicMCPClient, McpToolSpec
from llama_index.core.agent.workflow import FunctionAgent
from llama_index.llms.openai import OpenAI

# Connect to the MCP
mcp_client = BasicMCPClient(
    "https://edge.vinkius.com/[YOUR_TOKEN_HERE]/mcp"
)
mcp_tool_spec = McpToolSpec(client=mcp_client)

# Convert MCP tools to LlamaIndex tools
tools = await mcp_tool_spec.to_tool_list_async()

# Create and run the agent
agent = FunctionAgent(
    tools=tools,
    llm=OpenAI(model="gpt-4o"),
    system_prompt="You have access to Webex tools.",
)
response = await agent.run("List recent Webex data")

Common questions about Webex MCP in LlamaIndex

LlamaIndex doesn't just call the tools; it indexes the *results*. If you use `create_video_meeting`, the details of that new meeting are stored and become part of a searchable knowledge base, letting you query past configurations.
Absolutely. By indexing API outputs like room lists (`list_webex_rooms`), LlamaIndex solves the hallucination problem. You get answers grounded in the exact, current state of your Webex environment.
LlamaIndex processes metadata related to scheduling (titles and IDs), room names, and user-defined parameters. The core data type indexed is the descriptive text from meeting titles or room descriptions.
Yes. If you update a meeting using `update_meeting_schedule`, that new state can be captured and added to your index. This gives you an auditable history of how the scheduled parameters changed over time.
This server touches scheduling metadata, room identifiers, and descriptive text. When indexing results, remember that sensitive information like meeting titles or specific user details are being stored in the vector store.
